Last week Footsteps In Eden Reflexology sent the letter below our clients receiving our weekly emails. Since all clients — current and future — will be expected to follow these guidelines, I’m posting it here on our blog as well. It serves as a reference for all of us. Footsteps in Eden Reflexology is gratefully experiencing a season of tremendous growth, and we know it is because of you, our much appreciated clients. Thank you! Each of you is a very special asset to our business and to us.
You may have noticed in many recent emails that there have been no open appointments. Some of you have experienced frustration when booking your appointments, because your favorite time may not be available the day or week you would like to come. I have also heard new clients ask, “I’ll have to wait 2-3 weeks to get an appointment?”
This is, of course, a wonderful challenge to have. At the same time we share your frustration, especially when an appointment is cancelled at the last minute – an event that has repeated itself several times in the last several weeks. Someone (maybe one of you) would have been delighted to fill the spot had there been time to make the arrangements.
With this in mind, and with a sincere desire to avoid any fee increases, we have made a decision to revise our Cancellation Policy. We believe this will help all of us. Effective August 12, 2013:
1. We will expect your call to cancel or reschedule your appointment by NOON the day preceding the appointment. If your appointment is on Monday (or Tuesday following a Monday holiday) we will expect to receive your call by NOON on the preceding Friday. All of this is clearly spelled out in our Cancellation Policy found at the following link: http://FootstepsInEden.com/forms.
2. Clients will now be required to complete (including credit card number) and sign this form. As we begin to implement this policy, when you call to schedule an appointment, we will be requesting a credit card number to guarantee that spot. All of your personal information will be meticulously protected.
3. Most exciting to us is the implementation of the “Hopeful Anticipation” list. Call it a wait list if you desire. While we have always been willing to call you if a specific time or date becomes available, we would love to keep your name and number close at hand for when a time that works perfectly for you becomes available. You will be able to make an appointment, and wait in “hopeful anticipation” that a sooner or more convenient one may open.
4. Please be as flexible as possible when scheduling your appointment. This is not a business policy, but a courtesy that will make it easier for everyone.
While the policy above officially goes into effect August 12, 2013, it is our hope that common courtesy would be encouragement to you to follow these guidelines beginning today. Many of you already do. Thank you!
One more thing: if you receive our weekly emails, please do not let the “no available appointments this week” comment in a weekly email discourage you from calling. We will work with you to schedule an appointment that meets your needs.
